What this policy covers
This policy covers accounts and records in the Breeder Assistant app at app.breederassistant.com and the account support used to operate it. The public WordPress website, its comments, analytics and any future advertising may have separate disclosures. The public site's data practices are described in the website Privacy Policy.
Information we handle
We store the sign-in email, password hash, kennel name and time zone you provide. Your records may include dogs, heat dates, litters, puppy identifiers, buyer contact details, appointments and notes. We also store reminder preferences, selected notification addresses, email verification and delivery status, membership details, payment events and support activity. Hosting and security systems may process connection information such as IP addresses, request times and errors.
Uploaded dog photos and documents, such as vaccination certificates, registration papers and health-test reports, are stored with your private workspace. Dog photos are resized and re-encoded without the original image metadata. Documents are available through authenticated downloads. You can remove uploaded files from the dog profile. Files download separately from the JSON records export. Only upload records you have permission to keep.
How information is used
We use it to provide your workspace, organize records, estimate planning dates, send requested reminders and account recovery emails, manage subscriptions, provide support and protect the service. Only enter buyer information you are authorized to keep. Do not enter card numbers, government identification documents or unnecessary sensitive personal details into notes.
Payments and service providers
PayPal handles payment approval and payment credentials under its own privacy practices. We keep subscription identifiers, status and payment event information; the app does not collect your full card number or PayPal password. Hostinger provides hosting and email delivery. Information is processed by these providers as needed to operate the service. Administrators can access account and record information when needed for support, security and operation. We may disclose information when legally required or to protect users and the service.
Cookies and emails
The app uses a necessary session cookie to keep you signed in. Reminder emails require verification of the selected recipient and enabled preferences. You can turn reminders off in Settings or through the unsubscribe link in a reminder. Password recovery emails go to the sign-in email and do not depend on reminder preferences. Turning off reminders does not cancel a paid subscription. The FAQ explains how to configure reminder settings and delivery in the app.
Your choices and records
You can edit supported account settings and records, change notification preferences, and export records as JSON in Settings. Email hello@breederassistant.com to request account deletion, a correction you cannot make yourself, or help with a privacy request. We verify identity before acting. Cancelling payment does not automatically delete your account or records.
Retention and security
We retain records to provide the service and as reasonably needed for support, security, payment records and legal obligations. Deletion requests are reviewed for those requirements; backup copies may remain until their normal rotation. Access controls, encrypted connections and password hashing help protect information, but no online service can promise absolute security. Keep a separate export of important records.
Audience and changes
The service is intended for adults managing breeding records. It is not directed to children under 13. Contact us if you believe a child has provided personal information. We will update the effective date when this policy changes and provide additional notice where required.
